This role will be responsible for providing HR services to all Langham Hospitality Group (LHG) staff in China, including all GSOs in China , the Shanghai Regional Office and Ying’nFlo Shanghai Regional Office. Ensure smooth operation of the Shanghai Regional Office.
Major responsibilities
HR Operations Support
- Drafting employment contract and coordinating on commencement arrangement for both LHG China colleagues & YnF colleagues.
- Responsible for the entry and departure procedures, transfer process follow-up and other related matters of LHG China colleagues & YnF colleagues.
- Manage colleagues personal files for all LHG China colleagues & YnF colleagues systematically and timely.
- Upload employee profile to HCM system and keep necessary information updated continuously. Ensure the accuracy of uploaded or entered data.
- Monitor the progress of Annual Performance Reviews for all LHG China colleagues and YnF Team in China.
- Assist the Human Resources Department seal use registration. Assist in the application of company seal, follow up the approval process and seal the documents.
- Provide various certificates service for colleagues when required.
- Prepare the statutory holiday notice in time, and submit it to the department head for review, and be issued by the department head.
- Timely completion of the Corporate Office requirements of the relevant reports and data submission.
- Assist in providing HR operational support to hotels in China region if required.
- Assist to conduct HR related market surveys if necessary.
Recruitment
- Assist recruitment related responsibilities of publishing recruitment information, screening resumes and arranging interviews,etc..
- Assist to conduct background check or reference check for candidates.
- Assist to Candidate Experience Survey and conduct data consolidation or analysis if necessary.
- Conduct exit interview for managerial level and below.
- Responsible for visa application for expatriates.
Compensation & Benefit (C&B)
- Coordination with the HR Service Agent company for colleagues salary, social security fund, housing fund as well as individual income tax related issues. Provide related HR inquiry service to colleagues if necessary.
- Assist in docking with commercial medical insurance companies, and assist in the annual renewal process of commercial medical insurance. To provide relevant consulting services to colleagues if necessary.
- Timely release the annual personal income tax settlement notice to employees.
- Leave control & administration – such as supervise and urge all colleagues to clear their leaves on time, sick leave applications are supported by valid sick leave certificate, etc.
- Assist in labor cost analysis and manning analysis of the hotels in China region if necessary.
Human Resources Services (HRS)
- Organize and follow up with colleagues to conduct MCS and make action plan.
- Organize Colleague Relations activities.
- Coordinate on CONNECT (community service) activities.
- Ensure that all matters are handled in accordance with the current guidelines, policy & procedures of the Langham Hotels Group and the Yifeng team, as well as align with government and local regulations.
- Assist to maintain and update of HR manual, policy and procedures and job descriptions.
- Assist to handle or investigate colleague disciplinary cases,work injury cases and labor dispute case, assist in arranging interviews and writing investigation reports if necessary.
- Maintain positive relations and contacts with government agencies such as Labor Bureau, Social Security Bureau and related partner schools.
Learning & Development (L&D)
- Conduct Orientation Program, prepare Familiarization Program and Welcome kit for new hired.
- Conduct intranet system briefing for related colleagues.
Others
- Perform any duties as assigned by the management deemed necessary.
- Assist in HR related reimbursement process follow-up and processing, and ensure data accuracy.
Requirements:
- Education
- Bachelor Degree and above
- Experience
- At least 5-8 years in Human Resources field with 3 years in supervisory role
- Experience in service industry, preferably in hotel industry
- Job Skill / Knowledge
- Thorough knowledge of local labour law and procedures
- Good communication skills
- Computer Knowledge
- Knowledge of HRMIS system
- Basic training skills
- Computer literate to basic MS software
- Language Proficiency
- Fluent in English and Mandarin
