Position: Service Specialist, Northeast Asia

Job summary:
This is a role of team assistant that supports the client to plan and organize daily work and manage documentation for the team on required basis. The job location is in Shanghai while it supports client’s team in northeast Asia.
We expect the candidate possess data sensitivity and has strong willingness to learn.
Roles and Responsibilities:
Coordinating group meeting and provide supports to the individuals in multiple locations at the Asia region reporting to a regional manager.
Collect, collaborate and maintain the data pool for the team. Understand the purpose of the data usage and be able to detect and identify any abnormalities.
Proficiency in MS office (Word, Excel, Photoshop…etc.) and has enhanced formatting skill.
Meeting Assistance: Meeting Agenda, booking conference and TEAM conferencing rooms, MOM
Operational check and reading based on the check list developed per the client’s request.
Team calendar Management
Collect and maintain data trackers for the team and own the effectiveness of the data
Provide ongoing administrative support to the team
Event planning: Employee engagement activities and team quarterlies
Planning and executing the logistics for big events like planning sessions onsite and offsite
Providing logistic support and working with the logistics team for dispatches.
Qualifications
1. University degree, demonstration of effective oral and written communication skills in both mandarin
and English.
2. Proficiency in MS Office including word, excel, PowerPoint.
3. Over 3 years working experience as executive assistant, administrative secretary, or facility
management executive.
4. Thorough knowledge of records systems including classification, correspondence control
are an advantage.
5. Flexibility to perform OT under special circumstances based on real business need.
