Summary:
To provide comprehensive support for the division's daily operations, including coordinating cross-functional tasks, assisting in budget planning and tracking, facilitating timely and effective internal and external communication, and organizing key meetings or activities, thereby ensuring seamless workflow, efficient resource allocation, and the successful attainment of departmental objectives.
- Coordinate daily administrative operations of the division, including scheduling meetings, managing calendars for department leaders, and organizing necessary documents/reports.
- Assist in budget management: support the preparation of departmental budget plans, track monthly/quarterly spending against budgets, compile expense reports, and communicate with finance teams to ensure alignment with financial guidelines.
- Facilitate internal and external communication: act as a liaison between the division and other departments, clients, or stakeholders; distribute important updates, respond to inquiries promptly, and maintain clear records of communications.
- Organize key division activities, such as workshops, project kick-offs, or team events, including logistics planning, venue coordination, and post-activity follow-ups.
- Maintain and update division files, databases, and operational records to ensure accuracy and easy access for team members.
- On time and accurately complete daily work assigned by Head
- Proactively communicate and work closely with sub-teams and cross-functional teams according to Department Head arrangement
- Other logistics arrangement if necessary
- Ideal: Bachelor
- Minimum: College
- Languages: Chinese / English
- Ideal: 3-5 years working experience
- Minimum: 1+ year working experience
