Job Summary:
Primary Function
1. Supports the operation by ensuring clients receive prompt service, the administrative duties are completed and by coordinating the information flow for the group.
2. Coordinates all aspects of sample or purchased product flow through CSA Group. Receives samples, updates database, tracks status and location, and ensures safe storage and delivery to laboratory staff.
Principal Duties & Responsibilities
Understanding the Business
- Supports the Laboratory Technical Manager in routine activities related to Laboratory management.
- Promotes awareness of staff and team members relating to issues such as CSA policies and procedures, occupational health, safety, and environmental issues, crisis management, problem solving and project management.
- Ensures all decisions made are in the best interest of “one” CSA.
Working Well with Others
- Keeps line of communication open among all stakeholders, external vendors, laboratory technicians and certifiers.
- Interaction with all levels of management, problem solver, suggests and executes solutions; cooperate with all employees in a team-oriented environment.
- Assists various departments on other projects as needed, completing them in a timely manner.
Delivering Results
- Receives samples. Searches the database for job and notation of sample. If job located, updates database by making appropriate amendments to file indicating location, bin number, and date received. If job not located within database, creates material master record inputting sample description, quantity, product group and customer.
- Clearly communicates directions as it relates to the storage, pickup and delivery of samples to the assigned bin locations. Ensures the correct storage of samples to minimize the destruction and lost time while searching for misplaced samples.
- Ensures the accuracy of the information noted on the sample storage boxes. Consistency is required with the record keeping in the database. Operates tow motor to store and retrieve samples.
- Pickup and delivery of samples to technical staff in Certification division. Performs as series of spot audits of process to ensure that all samples removed from the assigned bin location have been properly signed out by both parties. Delivers purchased product to end user.
- Ensure goods movement is tracked accurately.
- Negotiates shipping rates for incoming and outbound shipments to ensure most cost-effective route and schedule is maintained.
- Ensures sample management practices are followed according to policy or DQDs. Supervises the track sample disposition, verifying sample destruction where required.
- Complies with safe storage, movement and operation of moving equipment to minimize damage to goods, packaging and people to maintain an accident free work area.
- Identifies incoming products as samples for certification or receivables ordered for internal use. Delivers purchased products to end user as necessary for timely distribution to users.
- After receiving cross training, backfills where needed within the warehouse operation as manpower and shifting work volumes dictates. This includes functions within Shipping, Customs or Labels.
- Performing minor repairs and contacting external vendors for facilities maintenance if needed.
- Ensure the daily security environment in laboratory and office areas. Act as a backup resource of Location Service Assistant and Office Manager.

- Demonstrates safe behavior and adherence to procedures

- Responsible for occupational safety and housekeeping.
Preferred Education & Experience
- College or Full Secondary School Diploma with at least 5 years warehouse/shipping/receiving experience
- Knowledge of Sample Control procedures
- Computer skills (Word, Excel, etc.)
- Good communication skills
- General carpentry and maintenance skills; use of power and hand tools
- Licensed fork truck operator is preferred (to be validated by 3rd party)
